A Peek Into The Payments Module
Autozilla POS's Payments Module is a robust tool that streamlines payment management for your business. It simplifies the tracking and handling of various payment types, including cash, credit cards, vouchers, and discounts.
This module provides a variety of functionalities aimed at enhancing the efficiency of payment management. These include automated payment processing, seamless integration with accounting software, and the ability to customize payment options
- Click on settings icon in the lowermost panel on your screen.
- Click on the icon on the screen’s lower panel; it directs us to the following page.
- We must now see these four options on the screen.
Let us walk you through each of them.
Receipts - This section of the Payments module will let us effectively manage all our tickets.
Let us see what each option in this section means.
- Select Customer - This bar lets us search for the intended customer.
- Cr. Amount - This option specifies the maximum credit amount a customer can have.
- Cr. Days - The number of days the availed credit is applicable is specified.
- Curr. Outstanding - This option displays the due balance on all invoices related to that customer.
- Available on-Acc - This option shows the customer’s advance amount.
- Due immed. - This option displays the amount yet to be retrieved from the customer after completing Credit Days.
- Receivables - This option displays all the details of our yet-to-be-received Bills in a tabular form, as shown below.
- Inv Date - The date of issuance on that particular invoice is displayed.
- Inv. No. - The invoice number is displayed.
- Customer - The name of the customer is displayed.
- Inv. Amt - The amount generated by that invoice is displayed.
- Note Amt - The amount, If the customer returned the parts.
- Pending Amt. - The amount which still has to be retrieved from the customer is displayed.
- Received Amt. - A part of the invoice amount we have received from the customer is displayed.
- Payment - This option will enable us to send a link to make the payments.
Received Payments - This option displays the details of our payments in a tabular form, as shown below.
- Voucher Date - The date we received our payment is displayed.
- Voucher Number - The voucher number is showing for the particular payment receipt.
- Transaction No. - The transaction number associated with our payment when we choose online banking services is displayed.
- Customer - The name of the customer who has made the payment to us is displayed.
- Paid Amt - The amount the customer paid to us is displayed.
- Available Balance - The amount shows If the customer paid more than an invoiced amount.
- Payment Mode - The means through which the customer made his payment is displayed.
- Account No. - The account number associated with the payment made is displayed.
- Remarks - Any remarks regarding the payment are displayed.
- Action - Helps us Print the Receipt.
Closed Payments - This option displays Closed payments for the Invoice details and Voucher details.
- Inv date - The date on which we have closed the Invoice is displayed.
- Inv. No - Invoice number is Displayed.
- Customer Name - The name of the customer is displayed.
- Inv. Amt - The amount generated by the invoice is displayed.
- Adjusted Amount - The amount the customer adjusted for the Invoice is showing.
- Adjusted Date - The customer requested date of the invoice.
- Voucher Amount - The voucher amount is displayed.
- Voucher Number - The voucher number is displayed.
- Voucher date - The voucher date is displayed.
- Action - Let us delete the Voucher.
- The Icon This feature allows us to pool the funds provided by our customer.
- The Icon This feature lets us apply the received amount.
- The Icon This feature lets us manually apply the received amount on selected invoices.
- The Icon This feature helps generate a payment link so our customers can make the payment without hassle.
Payments - This section of the Payments module will lets us effectively manage all the expenses.
Let us see what each option in this section means.
- Select Vendor -This bar lets us search for the intended Vendor.
- Cr. Amount - The value up to which the seller may provide us with parts is mentioned in this column.
- Cr. Days - The number of days the availed credit is applicable is specified.
- Curr. Outstanding - This option shows us the pending amount on all the invoices associated With that Vendor.
- Available on-Acc -This option shows the advance amount kept to Vendor.
- Due limited - Due immediate option displays the amount yet to be given to the vendor after the completion of credit days.
- Payable Invoice - This option displays all the details of our yet-to-be-paid bills in a tabular form, as shown below.
- Purchase Date - The date of issuance on that particular invoice is displayed.
- Invoice No - The invoice number is displayed.
- Vendor - The name of the Vendor is displayed.
- Inv. Amt. - The amount generated by that invoice is displayed.
- Note Amt - The amount if we returned the parts to the vendor.
- Pending Amt. - The amount which must be paid to the vendor is displayed.
- Paid Amt - The amount we paid to the vendor for the invoice.
Payments Made - This option displays the details of the Payments that we have made in a tabular form, as shown below.
- Payment Date - The date we made the payment is displayed.
- Voucher No. - The voucher number is shown for the particular payment receipt.
- Transaction No. - The transaction number associated with our payment when we choose online banking services is displayed.
- Vendor - The name of the vendor who has received the payment is displayed.
- Paid Amt - The amount the vendor received is displayed.
- Available Balance - The amount shows if we paid more than an invoice amount to Vendor.
- Payment Mode - The means through which we made payment is displayed.
- Account No. - The bank account number through which the transaction was processed.
- Action - Let us print the receipt.
Closed Payments - This module helps us view the Closed payments
- Inv date - The date on which we have closed the Invoice is displayed.
- Inv. No - Invoice number is Displayed.
- Vendor - The name of the vendor, The name of the vendor is displayed.
- Inv. Amt - The amount generated by that invoice is displayed.
- Adjusted Amount - The amount we adjusted for the Invoice to the vendor is showing.
- Adjusted Date - The date we adjusted for the Invoice to the vendor.
- Voucher Amount - The voucher amount is displayed.
- Voucher Number - The voucher number is displayed.
- Voucher date - The voucher date is displayed.
- The Icon lets us pool the amount we have given to the vendor.
- The Icon lets us apply the paid amount to the oldest invoices of that customer.
- The Icon lets us manually apply the paid amount on selective invoices.
Credit / Debit Memos - This payment module section will let us create credit and debit memos.
Let us see what each option in this section means.
- Here, we have to select the Note type.
- After selecting the Note type, we should search for the invoice . the invoice number will be displayed In the drop-down list.
- After selecting the invoice from the drop-down List, the account name will display automatically.
- Now, the invoiced line items will appear in the drop-down list . we have to select the parts for which we want to create Notes.
Let us See how we create debit memos and credit memos.
Credit Memo
- Now, we must select the note type as a Credit note .
- After that, we should enter the invoice number. After entering the invoice number, we must choose it from the drop-down list .
- After selecting the invoice number from the drop-down list the invoice’s account name is displayed .
- Now the invoice line items will be displayed In the drop-down list ; we have to select the part numbers for which we want to create the Credit memo.
- After this, we have to select Create option.
- After clicking on the create option, a confirmation pop-up will display as below.
- After selecting the save option, the Credit memo will be saved, And we can see the credit memo details as shown below.
- From here, we can print the credit memos.
Debit Memo
- Now we have to select the Note type as a Debit note .
- After that, we should enter the invoice number. After entering the invoice number, we must select it from the drop-down list .
- After selecting the invoice number from the drop-down list, the invoice’s account name will display automatically .
- Now the invoice line items will be displayed in the drop-down list ; we have to select the part numbers for which we want to create the Debit memo.
- After this, we have to select Create option
- After selecting the save option, the Debit memo will be saved, And we can see the credit memo details below.
- From here, we can print the credit memo.
Approval and Recon - Here, we can manage all our transactions in POS.
- If we choose the Approval and Recon option, we will be directed to the following page.
